Booking Terms and Conditions
These Terms and Conditions apply to all bookings for Parcoola Retreats. By making a booking with us you acknowledge that you have read and abide by these terms. These terms may be updated at any time.
Bookings
When making a booking, please ensure that all the details you provide are correct. It is your responsibility to notify Parcoola Retreats if any of your details have changed. We reserve the right to refuse a booking and refund any payments made at our discretion.
Rates
Rates may increase without notice due to any changes in government requirements, taxes or levies. Guests will be notified where possible of increases. All rates are in Australian dollars and inclusive of GST (Goods and Services Tax). A 2-night minimum applies throughout the year, except Easter, Christmas, and New Year period, when a 3-night minimum will apply. The owners reserve the right to amend rates should the cost of services increase beyond their control. Parcoola Retreats ‘Flow’ villa has 2 bedrooms, sleeping up to 4 people across both rooms. Base rates are for 1 shared room, sleeping a minimum of 1 person and a maximum of 2 people (in a shared room). An additional rate applies when booking 2 bedrooms, sleeping a minimum of 2 people (in non-shared rooms) and a maximum of 4 people (in shared rooms). Guests must state upon booking if they require 1 or 2 rooms during their stay. There is no special rate for children.
Payments
The full rate must be paid within 24 hours of your booking. Bookings are confirmed only when your payment has been received and acknowledged. Parcoola Retreats will accept payment by Bank Transfer or Credit Card. Please notify us if you require an invoice for direct banking payment. Parcoola Retreats reserves the right to release dates if payment terms are not met.

Gift vouchers
Gift vouchers can be purchased by making an enquiry with us. The option to purchase a minimum of 1 night stay or a dollar value is available. The customer will be invoiced for their chosen amount for the gift voucher. Payment is required within 7 days. Gift vouchers are sent electronically, or physical vouchers can be sent on request. Gift vouchers are valid for 3 years from date of purchase and are non-refundable.
Gift vouchers are for 2 people unless specified. Gift vouchers can be used anytime during the year. The standard 2 night minimum applies. Gift voucher bookings include standard inclusions: complimentary breakfast provisions and complimentary bottle of wine. All other offerings are available at an extra cost.
Gift vouchers can be redeemed by the recipient either by contacting Parcoola Retreats by phone or email. Alternatively, the recipient can book online and enter the code shown on their gift voucher to redeem.
Normal cancellation policy applies to bookings made with a gift voucher.
Check in/check out policies
Parcoola Retreats has the following check-in and check-out times and policies:
Check In: from 2:00 PM
Details on a contactless check in procedure will be emailed to you upon booking. This means you can arrive any time after 2:00pm on your arrival day, without having to set an exact arrival time.
If you are not familiar with Australian roads or country driving, we recommend arriving to Parcoola Retreats when it is still daylight. At dusk and in the evening, the roads are not lit and extra caution needs to be made for wildlife on the road.
Check Out: 10:00 AM
Check out will also be contactless. A check out guide will be sent to you upon booking and there is information contained in the Guest Welcome Book to assist with check out.
Cancellation policy
We are a small family business so please be mindful that cancellations impact our business and appreciate when guests reschedule their booking rather than cancelling where possible.
Rescheduling a booking
Rescheduling your booking to a new date is preferred over cancelling and no administration fee applies for date changes to your booking up to 14 days prior to arrival. Rescheduling bookings within 14 days of your arrival will not be refunded. Normal cancellation fees apply. Date changes are subject to availability. The new booking date must be within 12 months of the original booking date.
Cancelling a booking
Cancellation more than 30 days prior to check in: 50% of booking refunded, 50% forfeited as a cancellation fee.
Cancellation 30 days or less prior to check in: the booking will not be refunded and 100% of the booking fees will be forfeited.
During peak periods (December - January, Easter, Public Holidays and Public Holiday long weekends): All bookings are strictly non-refundable. Cancellations must be received in writing to Parcoola Retreats via email. No refunds will be given for any non-arrivals or early departures. Please allow 7 business days for refunds. Bookings are non-transferable unless discussed and agreed upon by Parcoola Retreats prior to arrival.
Guest occupancy
The maximum number of guests at Parcoola Retreats ‘Flow’ villa is 4 persons (adults and children). Guest occupancy must not be exceeded, additional charges will apply.
Children
Children are welcome at Parcoola Retreats ‘Flow’ villa and must be accompanied by an adult at all times on the property grounds and near or on the Murray River. Please be aware that we do not supply a fire guard for the fireplace and the decking area is elevated with stairs without railings. Parcoola Retreats accepts no liability for the actions of children whilst on the property. There is no special rate for children. Cots and stair guards for use inside the villa can be requested, cots will need to be set up in the lower story of the villa due to space restrictions in the second story bedrooms. You will find plastic dining utensils suitable for children to use in the kitchen.
Food packages
Food packages must be pre-ordered and paid at least 7 days prior to your arrival date. This allows us to arrange the availability of the packages at check-in, unless otherwise arranged. All packages have been designed to be available all year round. However, in some instances food may differ slightly from the image/description. In this case, we will replace items for similar price and quality. Cancellations of food packages within 7 days of your arrival will incur a 100% fee.
Massages
Relaxation massage packages are available through a third-party and are for strictly massage only. Our masseuse is available for massage on weekends between 9-4pm and weekdays after hours only. Appointments are essential, so when booking your accommodation please also advise the time and day you would like your massage. We will contact the masseuse to confirm the requested time and day, depending on their availability. Cancellations within 7 days of your confirmed appointment will incur a 100% cancellation fee due to the remote location.
We cannot guarantee that the massage will be available for your chosen stay and we will not be held liable should you not be able to book a massage in during your chosen dates.
Relaxation massage is for 60 minutes and for one person at a time. Massage is not suitable during all stages of pregnancy.
Inclusions
Our rates are inclusive of quality bed linen (pillowcases, sheets, blankets etc.), bath towels, hand towels, bathmats, tea towels, and bathroom amenities. We also supply provisions such as tea/coffee/milk/butter/fresh bread. We do not supply a daily housekeeping service.
Behaviour and noise policy
Parcoola Retreats is located in a rural area with the closest neighbours being your hosts. Please be respectful of the natural environment and keep noise to a minimum. Guest’s visitors are not permitted on the property and parties are not permitted. Please be respectful of the surrounding environment and do not vandalise the property or native vegetation. The road speed limit on the driveway into Parcoola Retreats is 40km per hour, please giveway to oncoming traffic and wildlife. Please drive to road conditions, and do not damage the road by reckless driving. Guests that do not respect this policy will be asked to leave the property at any time of day or night and no refunds will be applicable.
Additional charges
Guests must take care to look after the property, furnishings and surroundings. Any faults, damages or breakages must be reported to your hosts. On departure the property must beleft in a clean and tidy state. You will find a check out checklist in the Guest Welcome Book. Parcoola Retreats reserves the right to charge guests for the following, but not restricted to, all damages and breakages inside the villa and on the property, lost keys, missing items, extra cleaning and unpaid expenses. An amount equal to the repair or replacement cost for the damaged goods will be automatically charged to the credit card provided as security for the booking following at least one attempt to contact the credit card holder.If any items are missing from Parcoola Retreats after your departure, the cost of replacement will be automatically charged to the credit card provided as security for the booking following at least one attempt to contact the credit card holder. You must not alter, move or rearrange any furniture, fixtures or fittings inside or outside.
Smoking
We are a non-smoking property. If guests smoke inside the villa or near the villa and residue smell is unable to be removed with general cleaning, an additional fee of $550 for specialised cleaning will be charged to your nominated credit card. This is at the discretion of the owners (who are non-smokers and very sensitive to the smell of cigarettes).
Pets
We strictly do not allow pets. If pets are seen on the property, guests will be asked to leave with no refunds applicable.
Liability
Parcoola Retreats is not liable for any loss or damage to all guests personal property during their stay at Parcoola Retreats. You, and you on behalf of your children acknowledge that there are risks associated with attending the property. You, on behalf of yourself, your children, your guests, personal representatives and any other heirs, irrevocably agree to release, waive, discharge, hold harmless, defend, and indemnify Parcoola Retreats and all its staff from any and all claims, actions or losses as a result of bodily injury, property damage, wrongful death, loss of services or otherwise which may arise out of participation in all activities while at the property.
Travel insurance
We strongly recommend the purchase of comprehensive travel insurance to cover
unforeseen circumstances – medical emergencies, cancellations, additional expenses – that
may result in the cancellation of holiday bookings. Please read the PDS and check the policy
is right for you before making a purchase.
Force majeure
Parcoola Retreats is not liable for, and to the maximum extent permitted by Law the Customer releases Parcoola Retreats from all liability for any delay or failure to perform an obligation under this Agreement caused by any event or circumstance which is in the nature of force majeure including but not limited to fire, flood, storm, accidents, pandemic, plague, earthquake, riots, explosions, hostilities, labour disputes and industrial actions which prevent a party from complying with its obligations under this agreement and which that party did not cause and cannot control of influence.
Privacy policy
The Customer understands that Parcoola Retreats will keep any personal details of the Customer private in accordance with the Privacy Policy of Parcoola Retreats which is available at the website. Any personal information that Parcoola Retreats obtains from the Customer, or about the Customer from its representative, may be used for the purposes of marketing and running the Services and other related purposes. Parcoola Retreats will not disclose your personal information to a third party except to suppliers of your travel arrangements. The Customer may notify Parcoola Retreats to request their personal details not be shared.
